okPDF tools read the files you choose and process them in the browser's memory. Document content is not sent to a conversion server.

What happens to documents

The original on your device is not overwritten. The result remains available in the tab until you close it, reload it, or choose to work on other files. We do not save documents in localStorage, IndexedDB, or an online repository.

When you download the result, your browser saves a copy of it on your device according to your download settings.

Advertising and measurement

This first version does not include ads, traffic analytics, advertising pixels or fonts from external services. Adding these services in the future will require a review of the privacy information and consent settings.

The connection to the site

To open pages, your browser contacts the hosting service, which may process technical connection data, such as your IP address and page requests, depending on its settings. This data is separate from the documents you select. A private preview may require sign-in through the hosting platform.

Language preference

We read your browser’s language preferences locally to suggest a language, without using your geographic location. If you choose a language from the menu or confirm the current one, we save only the chosen language and its expiry in localStorage. The preference is valid for 12 months; after that it is no longer used and is deleted on your next visit. You can change the language in the menu or delete this preference in your browser settings. It contains no documents and is not sent to the server.

Browsing data and hosting

Page requests may include your IP address, date and time, browser information and the requested URL. They are used to deliver the site, keep it available and protect it from abuse. These data do not include files selected in the tools.

The secure delivery of the website and email security are based on the operator’s legitimate interest in providing and protecting the service, under Article 6(1)(f) of the GDPR. These data are not used for advertising or profiling.

Log retention
We do not export logs to a separate archive. Cloudflare applies the retention criteria described in its privacy policy. For the Free plan’s Security Events and Security Analytics datasets, it specifies up to 31 days; this limit does not necessarily apply to all technical data.
Data processing locations
Cloudflare Pages hosts this website. Cloudflare’s network is global; according to its privacy policy, information is stored primarily in the United States and the European Economic Area and may be transferred to or accessed from other countries. Documents selected in the tools are processed on your device.
Any transfers outside the EEA
Cloudflare’s DPA provides for standard contractual clauses for restricted transfers and refers to the Data Privacy Framework for transfers covered by its certification.
Privacy role of the hosting provider
Cloudflare processes Customer Logs and content passing through its services on behalf of the operator, under the DPA incorporated into the Self-Serve Agreement. For other processing described in its privacy policy, it may act as an independent controller. The content of PDFs processed by the tools is not transmitted to Cloudflare.

Legal and privacy contacts

This address is reserved for personal data requests and essential legal communications. Email technical support is temporarily suspended.

If you send an email, we process the sender’s address and the contents of your request so we can reply. Contacting us is optional; without a way to reach you, we cannot reply personally. Do not send unnecessary documents or confidential data.

Legal communications and privacy requests are received through Google Gmail. Email content passes through email services; PDFs processed by the tools stay on your device.

Email processing locations
Google operates Gmail using infrastructure distributed across several countries. These emails are not guaranteed to be processed exclusively within the European Economic Area.
Any transfers outside the EEA
Google’s privacy policy describes international transfers and the associated safeguards, including adequacy decisions and standard contractual clauses. The terms of the personal Gmail service apply to this contact channel.
Email provider’s role in data protection
For the personal Gmail service, Google states that it does not act as a data processor and does not offer a DPA. Google’s terms and privacy policy for individual users apply to the service.

Email provider’s privacy information

For other essential legal communications, we process only the data needed to handle the request and protect rights, based on applicable obligations or legitimate interest, depending on the specific purpose. Retention is limited to the necessary period and any statutory requirements.

Technical domain mailbox

The domain mailbox on Zoho remains in use for existing mail, email authentication reports and technical alerts. It is not offered as a support channel. The Zoho DPA specific to okPDF is still awaiting completion.

Any support requests already received remain subject to deletion within 6 months of closure. Further retention is limited to documented needs or legal obligations.

We receive aggregate reports on the authentication of emails from the domain (DMARC), which may include domains, sending servers’ IP addresses, counts and technical results. We use them to check delivery and abuse and ordinarily delete them within six months of receipt, except for documented needs or legal obligations. They are not used to profile visitors.

Deletion within six months applies to the active mailbox and copies managed by the controller. According to Zoho’s FAQs, deleted data may remain in the provider’s encrypted backups for three months.

Email processing locations
The contents of the mailbox are hosted in Zoho’s EU data centre. For technical support, Zoho staff in India may access the data under the safeguards stated by the provider.
Any transfers outside the EEA
Zoho states that it uses standard contractual clauses and supplementary measures for access to data and transfers outside the EEA. The data processing agreement (DPA) specific to okPDF has yet to be completed.
Email provider’s role in data protection
Zoho manages the domain’s technical mailbox and existing mail on behalf of Davit Janashia; email technical support for users is temporarily suspended. Zoho acts as an independent data controller for account data and data about the use of its services.

Diagnostics and statistics

Tool pages may keep a local summary of operations in memory: tool, outcome, error category and duration range. It contains no names, file contents, signatures or OCR text. You can download it to view it on your device. It is not sent automatically or saved in persistent storage; it is lost when you close or reload the page. We do not use profiling or automated decision-making based on these data.

Your rights

Where provided by law, you may request access, rectification, erasure, restriction of processing and portability, and object to processing based on legitimate interest. To exercise these rights, contact the operator. You may lodge a complaint with the Italian Data Protection Authority.

We cannot retrieve locally processed PDFs from our servers because we do not receive them.

The processing of data necessary to handle requests to exercise the rights provided by the GDPR is based on compliance with a legal obligation, under Article 6(1)(c). We retain these data for the time necessary to handle the request and document the response, with any further retention limited to documented needs or legal obligations.

Requests concerning personal data receive a response within one month. If the complexity or number of requests requires an extension, we will inform you within the first month of the reasons and the new deadline, within the limits set by the GDPR. We may ask only for the information needed to verify your identity.

Which files are supported

PDFs with JavaScript, active actions, embedded attachments or multimedia content are not supported. Some advanced features, such as bookmarks and links, may not be preserved when pages are copied. These checks are not antivirus protection and do not certify that a document is harmless. Always keep the original and check the result.

Editor, signatures and new tools

Visual tools accept up to 100 original pages, 25 MB per file and 50 MB in total. Organize PDF handles five documents and up to 200 pages in the result. The editor allows up to 100 added items; each image must be smaller than 5 MB.

Signatures you draw or upload are images, without a digital certificate. PDF comparison is visual and manual. Compressing scans recreates pages as images: selectable text, links and vector content are not preserved. If the file size does not decrease, the original is returned.

Multilingual writing in PDFs

The editor, watermarks and form tools may download the fonts needed for supported scripts from our domain. Fonts stay in the browser’s regular cache; text and documents are not sent to the server. Chinese and Japanese fonts require about 16 MB each. The editor and form tools can process up to 20,000 characters in total.

OCR recognition

OCR is available in 12 languages. Arabic and Urdu are not offered for recognition in this version; they remain available for the interface and writing in PDFs. No automatic recognition can guarantee error-free text.

The OCR engine and models for the selected languages are downloaded from our own domain only when you start recognition. Documents stay in the browser’s memory; we do not enable an IndexedDB cache for OCR. Program files may be stored in the browser’s regular HTTP cache.

OCR processes up to 20 pages at a time and produces TXT or a new searchable PDF with only the selected pages. The text may contain errors. OCR, image compression and extraction are limited to 12 megapixels per image or rendered page and 100 megapixels overall; the extraction creates a maximum of 300 images. The download must remain within 100 MB.

Cropping, page numbers and watermarks

Cropping changes the visible area; hidden content remains recoverable. It is not secure redaction. Page numbers and watermarks are added to the document; they do not replace a digital signature or prevent copying or editing.

Service status

Performance and available memory depend on your device. Processing stops after 90 seconds for basic tools, three minutes for visual tools and five minutes for OCR. You can cancel it while it is running.
